Migrating From NetSuite to Odoo: How Architectural Overflow Overhauled Their System (with OSI)

Introduction to Architectural Overflow

Architectural Overflow (AO) is a Minnesota-based residential design and architectural services company that has been providing innovative solutions to builders and consumers since 1998. The company specializes in pre-drawn house plans, custom residential architecture, drafting and production as a service, and architectural outsourcing. Their mission is to deliver high-quality architectural services tailored to the needs of individual homeowners and large firms alike.

Architectural Overflow evaluated various Odoo partners and decided to work with Open Source Integrators (OSI) to streamline their business processes and upgrade their ERP system from NetSuite to Odoo. This partnership enabled the company to meet its growing business needs while maintaining cost-effectiveness and scalability.

Challenges

Architectural Overflow faced several key challenges as they prepared for their migration project. Transitioning from a system they had relied on for over a decade presented both technical and operational hurdles. Additionally, they needed to identify a partner with the expertise to fill in the gaps for their project to maximize the value of their investment.

NetSuite Transition

For 14 years, AO relied on NetSuite as their ERP solution. However, the rising costs and lack of new functionalities became significant challenges. The company required a system that could:

• Support critical processes like website functionality, CRM, and project management.
• Avoid the complexity and hidden costs of overly customized modules.
• Provide a smooth user experience for employees across all departments.

It was clear that NetSuite was becoming a costly investment for AO, and they needed to make the switch to a platform that was less of a financial burden and offered the flexibility they required.

Technology Needs

Architectural Overflow needed an ERP platform that was both cost-effective and scalable. Key technological needs included:

• Centralized data management for customers and financials.
• Flexibility to support remote work.
• Enhanced reporting capabilities to inform business decisions.

Instead of utilizing a platform that seemed to cause more problems than solutions, Architectural Overflow knew that it was time to find software that reduced challenges and simplified processes for their users.

Finding the Right Partner

When evaluating potential partners for their ERP migration, Architectural Overflow sought a team with:

• Proven expertise in ERP implementations.
• Flexibility to accommodate a smaller team.
• A track record of delivering rapid, cost-effective solutions.

It was clear that they didn’t require the large investment of a full-scale enterprise project, so they needed a team that was accommodating to their particular business size.

Solution

Architectural Overflow’s first priority was selecting the right technology partner. This required extensive research, as the expertise and approach of the software specialists would play a critical role in the success of their migration project.

Choosing OSI

Architectural Overflow initially connected with OSI’s founder, Greg Mader, during the annual Odoo Days event in Buffalo, NY. After evaluating multiple companies for their project, they ultimately selected OSI for our industry expertise, flexible approach, and commitment to client success. Our rapid implementation methodology and out-of-the-box solutions were instrumental in minimizing costs and customization complexity while maximizing speed and efficiency.

Implementation Highlights

There were a few things that stood out to the Architectural Overflow team that made OSI a standout technology partner. Some key differentiators included:

• Rapid Go-Live: OSI completed the implementation within a 10-day timeline, going live on day nine.
• Workshop Approach: OSI conducted a two-week workshop at Architectural Overflow’s office to streamline the project and reduce costs.
• Minimal Customization: Focused on leveraging Odoo’s built-in functionality, avoiding unnecessary complexity.

“Our experience working with the team at OSI was pleasurable and they made it as stress-free as possible because these types of project transitions are high-stress mission-critical. I really have nothing but good things to say.”

- Lee Buescher, President of Architectural Overflow

Results

By choosing the right software platform and technology partner, Architectural Overflow was able to go live with a reliable Odoo system a day earlier than projected. Their team continues to make the most of the platform and its functionality.

Operational Improvements

Migrating to Odoo with OSI’s expertise provided the AO team with a streamlined, user-friendly interface. The new system now runs with 17 users, as well as OSI’s EAP Silver. This transition has reduced staff stress by centralizing key workflows, including CRM, accounting, and project management, into one cohesive platform. Through these thorough integrations, we were able to improve visibility and data accessibility, empowering better-informed business decisions. Additionally, AO has achieved significant cost savings by predicting upcoming expenses more accurately and reducing the need for extensive user training.

“The OSI team is really effective at asking the right questions, understanding the need, and then implementing that in the most cost-effective way possible.”

- Lee Buescher, President of Architectural Overflow

Business Impact

By implementing a new ERP system, Architectural Overflow was able to support projects with large firms rather than just individual consumers. Creating scalable workflows gave their team the flexibility to evolve on a project-by-project basis.

Architectural Overflow chose OSI not for a one-and-done project, but as a long-term partner that could assist with any maintenance, upgrades, and support. This dedication helps keep the system agile, allowing Architectural Overflow to sustain its growth and effectively navigate potential future challenges.

Future ERP Plans

Specifically in the construction industry, staying ahead of the curve is crucial. Architectural Overflow is looking to continue optimizing their Odoo ERP system with OSI’s support. Key future initiatives include:

• Migrating to Odoo v20 within approximately three years.
• Enhancing reporting capabilities and developing KPIs.
• Streamlining business processes and optimizing functionality.
• Exploring payroll functionality as Odoo expands its offerings.

Key Takeaways on AO’s Odoo Migration

By partnering with OSI, Architectural Overflow successfully transitioned to a cost-effective, scalable ERP solution that supports their growth and operational efficiency. With a focus on out-of-the-box functionality and rapid implementation, OSI has proven to be a reliable long-term partner for Architectural Overflow’s needs. Our team looks forward to continuing our partnership and supporting the growth of their business within the competitive architectural industry.
